Job Description:

  • Receives attendance reporting information and prepares/processes payroll information.
  • Coordinates and inputs daily timesheets into corporate computerised payroll/absentee system in regards to departmental cost centre changes, attendance, WSIB, lieu time, overtime, acting pay, service pay, kilometres, parking expenses, reimbursement for meal allowances, medical notes.
  • Prepares and processes personnel documentation for employees, rehires and layoffs.
  • Prepares, maintains and monitors attendance records for salaried and bi-weekly employees. Calculates, verifies and corrects entitlement for vacation and sick bank credits. Prepares summary sheets on outstanding sick claims and doctor’s certification. Calculates and monitors lieu time.
  • Verifies and distributes payroll cheques and makes arrangements for cancelled/replacement cheques.
  • Calculates and enters dollar adjustments into data set for recreation casual and Unit B payroll. Checks for employee numbers of recreation casual employees
  • Responds to enquiries regarding collective agreements, payroll and personnel matters. Verifies, tracks and resolves payroll matters.
  • Prepares reports i.e. overtime report, reports on casual employees. Prepares annual reports on position status and on employee regarding salary status, alternate rates, increments, sick bank/vacation/overtime/lieu time balances and attendance management information.
  • Receives increment, suitability and promotion/evaluation forms for employees. Maintains file for increments and promotion evaluations.
  • Prepares documents pertaining to the updating of payroll records.
  • Distributes forms for Canada Savings Bond and United Way programs. Receives forms from participating employees, adds personnel information and forwards to Finance Division.
  • Liaises with other departments, outside agencies.
  • Prepares payroll for a business unit.
  • Prepares and maintains payroll/personnel records and files for audit purposes.
  • Performs pre-audit and verifies input for accuracy.

Qualifications:

Your application must describe your qualifications as they relate to:

  • Considerable payroll/ clerical experience, some of which must relate specifically to the administrative functions.
  • Considerable experience in the application of collective agreements, personnel policies, procedures, practices and related legislation.
  • Considerable experience using Microsoft Office Suite (e.g. Word, Excel, Power Point and Access).
  • Considerable experience using payroll system software (e.g. SAP), scheduling application, time entry system (e.g. CAT2) and reporting software (e.g. Document Direct).

You must also have:

  • Strong analytical and problem solving skills.
  • Accurate keyboarding and proof reading skills.
  • Fundamental business mathematics skills and knowledge of general statistical techniques or accounting procedures.
  • Excellent customer service and interpersonal skills and the ability to communicate effectively, both orally and in writing, with all levels of staff, the public and other divisions.
  • Ability to work with attention to detail and accuracy needed for payroll and attendance reporting and maintenance of employee records.
  • Ability to work independently and carry out instructions with minimal supervision.
  • Ability to exercise independent judgement and discretion in dealing with confidential operational matters and information.
  • Ability to set up and maintain manual and computerized filing systems.
  • Ability to meet tight deadlines in a high volume environment.
